Two ways to offer times (1:1)
Pick dates and times
Add specific slots, up to 100. Each slot is one booking. Start times must be far enough apart that sessions do not overlap, and you need at least one upcoming slot. Use Booking closes to stop bookings 0, 1, 2, 6, 12 or 24 hours before a slot starts. For paid calls with several slots, decide whether one fan can book one or several slots.
Weekly hours
Tell Sygil when you are generally free and it creates the slots for you. The default is Monday to Friday, 6 pm to 9 pm in Asia/Kolkata, and you can change the timezone and add multiple windows per day.
| Booking rule | Options |
|---|---|
| Minimum notice | None, 1, 2, 4, 12, 24, 48 or 72 hours before the slot. |
| Booking window | 7, 14, 30, 60 or 90 days ahead. |
| Buffer between calls | None, 5, 10, 15 or 30 minutes. |
| Blocked dates | Pick days off; no slots are offered on them. |
Group sessions
A group session is a list of dates. You set Seats per session once (2 to 1,000) and every date offers that many seats. Fans book a seat on the date they want. One group link can be used for every session, or you can give a single session its own link.
Meeting links and privacy
- Fans never see the link early. The Join button opens 15 minutes before the start and stays until the call ends. The link is shown through Sygil.
- You can change a link at any time from the Requests inbox. You can also set a different link for a single call or session.
- If you reuse one link for every 1:1 slot, a fan could reopen it during someone else's call. Turn on the waiting room ("host must admit guests") in Meet or Zoom, or give each slot its own link.
What fans and you receive
- The fan gets a confirmation email with a calendar invite, a reminder and a Join button on the day.
- You get an email for each new booking and a daily schedule of your calls.
- The confirmation email carries a calendar file, so the call lands in the fan's calendar.
Reschedule, cancel and refund
| Situation | What to do | What happens |
|---|---|---|
| You need a new time | Requests inbox, Reschedule. Add an optional note (up to 300 characters). | The fan is emailed the new time. If it does not work for them, they can cancel for a full refund. |
| You cannot do it | Cancel and refund before it starts. | The fan is refunded automatically. Fan Points used are returned. |
| It started and you could not attend | I couldn't attend (or I couldn't run this session) within 24 hours after it ends. | The booking is refunded. |
| It went fine | Nothing. | Calls complete on their own. There is nothing to confirm. |
